How to fix “Printer in Error State” error on Windows

The “Printer in error state” message on Windows can appear for many reasons, such as a faulty connection, driver problems, or misconfiguration of system services. Luckily, you can resolve this problem and get your printer working again by following the tips listed below.

1. Make sure the printer is properly connected to the PC

The first thing to check is connecting the printer to the PC. For wired printers, make sure the cable is securely plugged into both the computer and the printer. For wireless printers, verify that the printer is connected to an active WiFi network.

Additionally, to confirm that your Windows PC recognizes the connected printer, do the following:

  • Open the search menu, enter Control Panel and select the first result that appears.
  • In the window Control Panelclick View devices and printers in section Hardware and Sound.
  • Find and select the printer.
  • In the bottom bar, field Status of the printer is displayed Ready. This means that the PC recognizes and can communicate with the printer.

2. Troubleshoot printer problems

Restarting the printer can resolve various issues, so it's worth a try. On most printers, you just need to press the Power button to turn it off. Then, wait about 30 seconds, then press the button again to turn it back on.

While doing so, make sure that the printer has enough ink and paper in the tray. Although this does not cause any errors in Windows, you should still confirm it.

3. Run Printer Troubleshooter

Running Printer Troubleshooter on a PC running Windows 10 or 11 is an effective way to fix printer-related problems. This tool can automatically scan the system for any common problems and try to fix them. Here's how to run the tool.

  • Press Win + I to open the Settings app.
  • Go System > Troubleshoot > Other troubleshooters.
  • Click the button Run next to Printer.

4. Reinstall the printer driver

Printer drivers allow Windows to communicate with the device. However, if these drivers are outdated or damaged, you may encounter the “Printer in error state” message on Windows.

You can try reinstalling the printer driver on your PC to see if that works. Here are the steps to take.

  • Disconnect the printer from the PC.
  • Right click on the icon Start and choose Device Manager from the list.
  • Locate and expand Print queues.
  • Right click on the printer driver and select Uninstall device.
  • Select Uninstall to confirm.

After completing the above steps, reconnect the printer to your PC and Windows will automatically install the necessary drivers. If the driver is not installed automatically, visit the printer manufacturer's website to download and install the driver manually.

5. Configure the Print Spooler service

Windows relies on the Print Spooler service to handle printing tasks and interact with the printer. If this service is not configured to run automatically, you may experience problems. Here's what you can do to fix the problem.

  • Press Windows + R to open the Run dialog box.
  • Enter services.msc into the box and press Enter.
  • Find the Print Spooler service in the list, right-click on it and select Properties.
  • Click the drop-down menu next to it Startup type and choose Automatic.
  • Click Apply > OK at the end.
  • Restart your PC.
